Filtering & Searching Memberships
The Membership Dashboard provides status tabs to help you quickly find membership plans by their current state. Each tab displays a count badge showing how many plans fall into that category, so you can see your membership distribution at a glance.
Status Tabs
Active (default)
The Active tab is selected by default when you open the dashboard. It shows all membership plans that are currently live and accepting new enrollments. These are the plans that members can see and sign up for on your organization's public profile (unless marked as invite-only).
For example, if your organization has a "Junior Basketball Annual" membership and a "Sunset Yoga Monthly" membership that are both active, they will both appear here.
The Add Membership button is visible on this tab (when you have create permissions), making it easy to add a new plan alongside your existing active ones.
Inactive
The Inactive tab shows memberships that are in draft or paused state. These plans are not visible to the public and cannot accept new enrollments.
Common reasons a membership might be inactive:
- It was recently created and has not been launched yet
- It was paused temporarily (e.g., during an off-season)
- It is being revised before going live again
Check the Inactive tab periodically. If you see memberships here that are ready to go, you can activate them from the membership detail page to start accepting enrollments.
Closed
The Closed tab shows memberships that have been permanently closed or rolled up into another membership plan. Closed memberships cannot be reactivated and will not accept new enrollments.
A membership may be closed because:
- The program it represented has ended
- It was replaced by a new membership plan (rolled up)
- The organization decided to discontinue it
Closed memberships remain visible here for historical reference. Existing members who enrolled before the closure retain their membership records.
Count Badges
Each status tab displays a count badge when it contains one or more memberships. The badge appears as a small number next to the tab label.
- Selected tab: The badge appears with a solid purple background and white text.
- Unselected tabs: The badge appears with a light purple background and purple text.
- Empty tabs: No badge is displayed when a tab has zero memberships.
The count on each tab reflects only the memberships in that specific status. For example, if you have 5 active, 2 inactive, and 1 closed membership, the badges will show "5," "2," and "1" respectively.
How Filtering Works
When you select a status tab:
- The membership listing immediately updates to show only plans matching that status.
- The selected tab is highlighted with a purple underline.
- If no memberships match the selected status, a contextual empty message is displayed.
The stat cards at the top of the dashboard always reflect your overall membership data regardless of which tab is selected. Only the membership card listing changes when you switch tabs.
Understanding Membership Statuses
Memberships progress through a defined lifecycle:
| Status | Meaning | Can Accept Enrollments? |
|---|---|---|
| Active | The plan is live, visible, and accepting new members | Yes |
| Inactive | The plan is in draft or paused -- not visible to the public | No |
| Closed | The plan is permanently shut down | No |
| Rolled Up | The plan was merged into another membership (appears under Closed tab) | No |
Typical Lifecycle
- Inactive -- You create a new membership. It starts as inactive while you configure the details, pricing, and terms.
- Active -- Once you are satisfied with the setup, you activate the membership. It becomes visible and starts accepting enrollments.
- Inactive (optional) -- You can pause the membership at any time to temporarily stop new enrollments.
- Closed -- When the membership is no longer needed, you close it permanently.
Sorting
Within each tab, memberships are sorted by most recently modified. This means:
- Plans you recently edited or created appear first
- If you update a membership's details, it moves to the top of the list
- Older, untouched memberships gradually move down
This sorting behavior ensures that the plans you are actively working on are always easy to find.
