Setting Up Ticketed Events for Success
Ticketed events are the most feature-rich event type in FeatsClub. Here are best practices to maximize ticket sales and ensure a smooth experience for both you and your attendees.
Before You Launch
1. Plan Your Ticket Tiers
Think about your audience segments before creating tickets:
- Early Access / General Admission - Your standard ticket at a base price
- VIP or Premium - Higher-priced tickets with added benefits (describe benefits in the ticket description)
- Member-Only - Exclusive tickets for your organization members
- Free / Complimentary - For sponsors, volunteers, or special guests

Keep ticket names short and descriptive. Attendees see these names on their confirmation emails and QR codes.
2. Set the Right Price
- Factor in processing fees. Decide whether to absorb fees or pass them to attendees using the Processing Fee Passthrough toggle.
- If passing fees to attendees, check the "User Pays" preview to see the total amount attendees will be charged.
- For free events that still need registration, consider using Sign-up type instead of a Ticketed event with $0 tickets.
3. Configure Capacity Correctly
- Set per-event max tickets if your venue has a hard capacity limit
- Set per-user ticket limits for free tickets to prevent a single person from claiming all available tickets
- Use the Manual Sold Out flag if you need to stop sales before hitting the capacity limit (e.g., for logistical reasons)
4. Prepare Your Participant Forms
If you need to collect information from attendees:
- Create your participant form before launching the event
- Decide whether to collect forms before or after payment
- Before payment: Attendees fill out the form first, then pay. Best when you need to screen registrants.
- After payment: Attendees pay first, then fill out the form. Best for a smoother checkout experience.
At Launch
5. Test the Ticket Purchase Flow
Before sharing your event widely:
- Save the event as a draft first
- Review all ticket details in the preview
- Check that participant forms are attached to the correct tickets
- Verify terms and conditions are readable and accurate
- Publish when everything looks right
6. Set Up Offline Ticket Issuance
If you expect walk-ins or cash payments:
- Familiarize yourself with the Issue Offline Tickets workflow
- Know which payment methods you will accept (Cash, Check, Zelle, Venmo, etc.)
- Have the web dashboard accessible at the venue (laptop or tablet)
During the Event
7. Use the Mobile App for Check-ins
- Download the FeatsClub mobile app before the event
- Use QR scanning for fast venue check-ins
- Monitor check-in counts in real-time from the web dashboard

8. Handle Walk-ins with Offline Tickets
- Use the web dashboard to issue tickets on the spot
- Record the payment method and reference number
- The attendee receives a QR code immediately
After the Event
9. Review Ticket Sales
- Check your revenue and ticket sales from the event detail page
- Review attendee information and form responses
- Export data if needed for your records
10. Handle Cancellations Gracefully
- Cancel individual tickets from the attendee view if needed
- Process refunds through your Stripe dashboard for any applicable cancellations

Checklist
Use this checklist before launching a ticketed event:
- Ticket types created with clear names and descriptions
- Pricing set correctly (check "User Pays" with fees)
- Capacity limits configured if needed
- Member-only restrictions applied to appropriate tickets
- Participant forms created and attached (if needed)
- Terms and conditions added (if applicable)
- Note for attendees set (parking, dress code, etc.)
- QR code generation enabled for check-in
