Admin Delegation

Admin delegation allows you to share the workload of managing your organization by granting specific management permissions to trusted followers. Instead of doing everything yourself, you can empower coaches, team leads, board members, and volunteers to handle the tasks they are responsible for -- while retaining full control over what they can and cannot do.

How Admin Delegation Works

The delegation system is built around three concepts:

  1. Community Role -- A follower must have the Admin community role before permissions can be assigned.
  2. Permission Categories -- Permissions are organized into seven categories that map to major areas of your organization.
  3. Granular Permissions -- Within each category, you can enable or disable individual permissions, giving you precise control over what each delegate can do.

The organization owner always has all permissions and they cannot be modified or removed. Admin delegation only applies to followers who have been assigned the Admin community role.

Setting Up a Delegate

Follow these steps to grant management permissions to a follower:

  1. Navigate to the follower's detail page from the Followers section of your dashboard.
  2. Change their community role to Admin using the Change Role action.
  3. Once the role is set to Admin, the Permissions Panel appears on their detail page.
  4. Open the Permissions Panel and select the specific permissions you want to grant.
  5. Save your changes.

You do not need to grant all permissions within a category. For example, you can allow someone to create and edit events without giving them the ability to delete events. This lets you match permissions to each person's actual responsibilities.

Permission Categories

Permissions are organized into seven categories. Each category contains multiple individual permissions that control specific actions.

Events

Granular Permission Control

The permissions system is designed to be as flexible as possible. You are not required to grant all permissions within a category -- you can mix and match based on the delegate's responsibilities.

Examples of granular setups:

  • Event coordinator -- Grant Create Event and Edit Event, but not Delete Event or Manage Tickets. They can set up events but cannot remove them or handle financials.
  • Attendance tracker -- Grant Track Attendance and Manage Schedules within Cohorts, but no other cohort permissions. They handle day-to-day session management without being able to modify the club itself.
  • Finance reviewer -- Grant View Event Analytics and View Membership Analytics only. They can pull reports without making any changes.

Revoking Permissions

There are two ways to revoke a delegate's permissions:

Option 1: Remove Individual Permissions

If you want to keep someone as an Admin but reduce their access:

  1. Go to their follower detail page.
  2. Open the Permissions Panel.
  3. Deselect the specific permissions you want to remove.
  4. Save your changes.

Option 2: Remove the Admin Role

If you want to revoke all permissions at once:

  1. Go to their follower detail page.
  2. Change their community role from Admin back to Member, Follower, or another non-Admin role.
  3. All delegated permissions are immediately revoked.
caution

Changing a follower's role from Admin to any other role revokes all of their delegated permissions instantly. There is no way to partially preserve permissions through a role change -- if you only want to adjust specific permissions, use Option 1 instead.

Security Best Practices

Admin delegation is a powerful feature. Follow these guidelines to keep your organization secure:

  • Grant the minimum permissions needed. Only enable the permissions each delegate actually requires for their role. Avoid granting full access unless it is truly necessary.
  • Review delegated permissions regularly. As responsibilities change, update permissions to match. A seasonal coach may not need year-round access to event management.
  • Limit the number of Admins. The fewer people with elevated access, the easier it is to maintain oversight and accountability.
  • Use the activity log. When reviewing a delegate's work, check the activity logs on events, clubs, and memberships to see what changes they have made.
  • Revoke access promptly. When a delegate leaves your organization or changes roles, update their permissions immediately.

Frequently Asked Questions

Can a delegate add other delegates? No. Only the organization owner can change community roles and manage the Permissions Panel. Delegates cannot promote other followers to Admin or modify anyone's permissions.

What happens if I block a follower who has Admin permissions? Blocking a follower removes them from your active community and revokes all of their delegated permissions. If you later unblock them and they re-follow, they will start with no permissions and you would need to set them up again.

Can I see what actions a delegate has taken? Yes. Actions taken by delegates are recorded in the activity logs of the relevant entities (events, clubs, memberships). The log entries show who performed each action.

Is there a limit to the number of Admins I can have? There is no hard limit on the number of followers you can assign the Admin role to. However, for security and accountability, it is best to keep the number manageable.
