Club Status Lifecycle

Every club on FeatsClub moves through a series of statuses during its lifetime. Understanding these statuses and the transitions between them helps you manage your clubs effectively. This page documents each status, what triggers transitions, and what actions are available at each stage.

Status Overview

FeatsClub clubs can be in one of four statuses:

CompletedGrayThe club has finished -- either naturally (end date passed) or manually (archived by an admin).
TrashGrayThe club was deleted from Draft status. No longer visible on the dashboard.

Detailed Status Descriptions

Draft

A draft is a club that has been saved but not yet made live. Drafts are your workspace for preparing clubs before they go active.

Characteristics:

  • Only visible to organization admins in the Drafts tab of the dashboard.
  • Not visible on your public organization page.
  • Members cannot be invited or enrolled.
  • Can be freely edited without any impact on members.
  • Can be launched at any time to make it active.
  • Can be permanently deleted if no longer needed.

Available actions:

  • Edit all club details
  • Launch (transitions to Active)
  • Delete (transitions to Trash)

Draft is the only status where a club can be deleted. Once launched, clubs cannot be deleted -- they can only be archived (which moves them to Completed status).

Active

An active club is live and operational. This is the primary state for clubs that are currently running programs and accepting members.

Characteristics:

  • Visible on the Active tab of your dashboard.
  • Appears on your public organization page if "Show in Org Profile" is enabled.
  • Members can be invited, enrolled, and managed.
  • Schedules are active and attendance can be tracked.
  • The shareable link and QR code are functional.

Available actions:

  • Edit club details (changes apply immediately)
  • Archive (transitions to Completed with a reason)
  • View and manage members
  • Create and manage schedules
  • Track attendance
  • Share the club link and QR code

Completed

A completed club is one that has finished its program. A club reaches Completed status either by its end date passing naturally or by being manually archived by an admin.

Characteristics:

  • Visible on the Past or Archived tab of the dashboard.
  • Not visible on your public organization page.
  • No new members can be added or invited.
  • All historical data is preserved: member enrollments, attendance records, schedules.
  • Club details cannot be edited.

Available actions:

  • View all historical data (members, attendance, schedules)
  • Use as reference for creating future clubs

Trash

A club moves to Trash when it is deleted from Draft status. Trashed clubs are no longer visible on the dashboard.

Characteristics:

  • Not visible on any dashboard tab.
  • Not visible on your public organization page.
  • All associated data is no longer accessible from the dashboard.

Available actions:

  • None -- trashed clubs are not recoverable from the dashboard.

Common Lifecycle Patterns

Seasonal Program

A club that runs for a defined season (e.g., fall soccer, spring dance recital):

Draft  ──►  Active (season runs)  ──►  Completed (end date passes)

New season? Create a new club for fresh enrollment and attendance tracking.

Ongoing Program

A club with a far-future end date that runs continuously (e.g., weekly yoga group):

Draft  ──►  Active (runs indefinitely until archived)  ──►  Completed (admin archives)

Quick Cleanup

A club that was started but never needed:

Draft  ──►  Trash (admin deletes)

Program Restructuring

A club that needs to end early due to changes:

Draft  ──►  Active (runs for a while)  ──►  Completed (admin archives with reason)

Understanding the club lifecycle helps you plan your program management workflow. Most clubs follow the seasonal pattern: Draft, then Active for the duration of the program, then Completed when the season ends. Use archiving when you need to end a club before its scheduled end date.
